Cash Deposits Overview

A deposit is a cash removed from a restaurant to be deposited in a bank or other financial institution. A cash deposit should be the final cash management operation of the day. After all, checks are closed for the day, shift reviews are completed, and all cash drawers are closed, you can use the Cash Deposits screen on the POS to enter the actual cash amount of the deposit into the Toast platform.

From the main menu of the Toast app on your POS, select Cash Deposits from the Cash Management section.

Note: The Cash Deposits screen was previously known as the Deposits screen on the Toast POS.

Restaurant employees and managers can pull actual counted cash amounts from terminals and cash drawers and enter them into Toast as deposits. Cash deposit amounts are displayed in end-of-day reporting. This allows restaurant administrators to verify the deposit amounts that were entered into Toast match the amount received by your bank.

The deposit is the actual amount of cash that you will deposit in the bank. The deposit amount should not include the sum of the starting balances for all cash drawers, because the starting balance cash is not deposited in the bank but remains in the cash drawers.

By entering deposits into the Toast platform, you can later view them in Toast Web by navigating to Reports > Cash and loss management > Drawer history > Cash drawer history report. The Cash Drawer History report is a historical record of these transactions, and you can verify them against the deposit slips from your bank.

User Access to Cash Management

There is no configuration required to enable the cash deposit feature. However, any employee who should have the ability to add cash deposits must have access to the 3.18 Cash Drawers (Full) permission. Additionally, the 4.12 Edit Historic Data permission is needed to add prior-day deposits.

View, Enter, and Undo Cash Deposits on the POS and in Toast Web

On the Cash Deposits screen, you can view your deposit activity report, add a deposit, and print the deposit activity report.

You can enter cash deposits from the Toast POS and Toast Web. You can also undo deposit entries from the Toast POS device or the Toast Web. You cannot currently edit a previous day's deposit amount; we recommend undoing the deposit, instead.

Reporting for Cash Deposits

Drawer History Report

You can view your cash deposit amount in Toast Web by navigating to Reports > Cash and loss management > Drawer history. 

Note: The Reports > Cash and loss management > Cash drawer overview report also shows the deposit amount, but does not provide detailed information on the Cash Drawer History report.

Expected Deposits and Total Cash

You can learn about the expected deposits and total cash amounts in Toast Web by navigating to Reports > Sales > Sales summary. Here is what these amounts mean:

  • Expected Deposit = Total cash payments in all cash drawers plus all cash collected during shift review, plus cash-ins, minus cash-outs, minus payouts, minus tips/gratuities claimed during shift review.

  • Total Cash = Total cash payments minus adjustments (payouts, cash ins, cash outs, closeout overages/shortages on drawers) minus all tips and gratuities.

Deposit Summary in the Z Report

You can configure the Close Out Day Z Report to display a deposit summary in Toast Web, follow these steps to proceed:

  1. In Toast Web, navigate to Employees > POS report configurations > Manager end of day report.
  2. On the Z Report page, use the column Show? checkbox to enable the Deposit Summary option.
  3. Once enabled, select the Publish all changes button at the bottom of the page.
