DoorDash Integration Overview

DoorDash now offers a direct integration between your Toast POS and DoorDash's and Caviar's marketplace. (You will not have to create a separate account with DoorDash.) This connection allows your restaurant to:

  • Receive orders placed on the DoorDash and Caviar app directly on your Toast POS -- Eliminating the need to manually enter orders from a tablet into Toast. 
  • Manage your DoorDash and Caviar menu via Toast POS -- Menus, including 86'd items, are synced in real-time. 
  • Consolidate accounting & reporting into Toast in real-time -- DoorDash orders are tagged to a unique payment type and dining option for ease of reporting and tracking. 

The integration doesn't currently support:

  • Prep time delays or throttling
  • Time-specific pricing
  • Pre-modifiers
  • Subgroups
  • Prompt for quantity
  • Menu modifier pricing (size pricing, sequence pricing, size sequence pricing)
  • Viewing of future scheduled orders

Timeline & Process Overview for DoorDash Integration

To integrate Toast with DoorDash, you'll need to follow these setup steps:

  1. Sign up for a third-party integration via Toast Shop. 
  2. The integration will be automatically added to Toast Web. Complete the onboarding checklist. (You must fully complete this checklist or your integration won't work!)
    • You can find this checklist under the setup button on the top right of the Toast Web home page. 
  3. Complete menu and pricing details.
    • Click into the checklist and complete your menu and pricing selections.
    • The Toast onboarding team will work on setting up your menus, prices and other configurations
  4. Receive email confirmation from Toast that your menu and pricing configurations are set.
    • You will need to complete the final step. Connect your DoorDash account to your Toast account. 
  5. Receive email confirmation from DoorDash when you're all set and ready to start taking orders.

Process

Sign up for a third-party integration via Toast Shop. Note that this step is only needed if the integration is not sold to you by your sales rep. 

The integration will be added automatically to Toast Web. You will be prompted to start the onboarding process for each integration. 

When you begin onboarding, you will be prompted to answer questions to set up your menu, determine pricing, and sign the Grubhub contract (if you do not have an existing one). This process is quick to complete from your end. 

Once Toast completes the menu and pricing configuration from the back-end, you will receive an email showing you the following steps, timelines, and where you are in the process

You will receive a final email from the partner when you're all set with the integration and can start taking orders.

Add the DoorDash Integration from Toast Shop

You can connect your Toast POS to DoorDash and Caviar in a few easy steps:
 

  1. In Toast Shop, select Learn More next to the DoorDash icon. Then, complete the purchase process by adding the integration to your cart and then check out. If you need to verify your store ID, please follow these instructions.

  1. A confirmation page will appear. Select Confirm Selections to add the integration.

  1. A new page will outline the Terms and Conditions. Make sure to read through it, then check off I accept the terms and conditions and select Submit

  1. From here, you will be taken to the setup flow directly in Toast Web. You can select your menus to be used with DoorDash, increase prices if you would like, and be prompted to sign the DoorDash contract if needed.

  • You can follow the progress of your integration by following the Setup Checklist listed in Toast’s back-end. DoorDash integration status will be unlocked once all items have been completed on the checklist. If you encounter an error page, make sure you have permissions 8.4 and 8.5 enabled on your account as these are needed to access the steps in the setup checklist.

  1. From here, you can select your menu(s).

  1. Next, you have the option to increase your pricing.

  • If you select Yes, you will be prompted to enter the increase amount and percentage or dollar amount. Then select Continue.
 
  1. Next, once price selections have been selected, Toast will be working on setting up your menus and prices. The integration setup process can take up to 4 days.

  1. Once Toast setup is complete, the setup checklist will update to unlock the Confirm your DoorDash account step. The status will then be updated to Take action to go live (example below) and you'll receive an email with the go-live information.

  • Note: You will also receive an email from the Toast Team that your Toast setup is complete.

  1. Next, connect your DoorDash merchant account.  
  • If you have a DoorDash account, select Yes, I have a DoorDash account, then Continue

  • You will be prompted to sign into your DoorDash account.  Select Continue.

  • If you are a new DoorDash user, select No, I don’t have a DoorDash account
  • This will redirect you to DoorDash so you can create a new account. Once you have completed the DoorDash onboarding process, please return to Toast to complete your integration setup.

  1. Once logged in, select the restaurant location that you’re connecting to from the dropdown menu. Select Continue.
  • If you have selected a wrong location, you can simply navigate to Choose a different account to change your selected location. This will prompt you to sign in to DoorDash again and reselect a different location.

  1. You can see your selected location. Please confirm the location you are logging into.

  1. Next, you will preview and confirm your selected menus. If you have selected a wrong location or something looks incorrect, you can simply select Start Over. This will prompt you to sign in to DoorDash again and reselect a different location.

  1. You can now activate your DoorDash integration by selecting Enable integration
  • If you have selected a wrong location or something looks incorrect, you can simply select Start Over. This will prompt you to sign in to DoorDash again and reselect a different location.
  • Note: If you prefer to activate later, select enable later. You will need to re-visit this page and select enable integration. Please note selecting enable later can delay activating the DoorDash integration.

  • Note: If you are a new DoorDash user, no further action will be needed from you to activate your DoorDash account. Enabling this integration will also activate your DoorDash marketplace store.
 
  1. Congratulations, your DoorDash integration is now activated. Select Finish.

Troubleshooting During Activation of DoorDash Integration

Menu, Dining Options & Settings for Partners

DoorDash will be able to pull the menu directly from Toast. To allow DoorDash to display a menu, you will want to make sure the visibility for the menu you would like DoorDash to use is set to visible to Online Orders: Partners

Note: If you use choose to integrate with multiple third-party online ordering partners, you can use the menu builder to control which menus are shared with each specific partner, as shown below. To learn more, check out this Toast Central article: Set Menu Visibility in the Menu Builder.

Additionally, fill out the questionnaire in the confirmation email you received after you added the integration. A Toast menu specialist will ensure your menu is configured correctly so DoorDash can retrieve it. 

If you are already a DoorDash customer, when switching to the Toast integration, you will lose the ability to add items/categories to your menus through the DoorDash portal. You must edit your menu on Toast Web so that DoorDash captures these updates in real-time.

The DoorDash-Toast integration syncs menu item photos automatically from the Toast POS. The images need to be within the DoorDash specifications of having a public link and photo specifications of:

  • 16:9 (landscape) aspect ratio
  • Max file size of 2MB
  • JPG, JPEG, or PNG format
  • Resolution Size: 1400 x 800px minimum

Manage the On/Off Toggle for Third Party Ordering

The on/off toggle in Toast web allows you to turn your DoorDash direct integration on or off from receiving orders on the platform. Once the location is fully onboarded and live on DoorDash, the toggle will default to On. This can be adjusted at any time by following the steps below. 

 
In Toast Web, select Takeout & delivery > Third party ordering sub-category and select the toggle to turn the integration on or off.

Note: The on/off toggle in Toast web will override any settings on the DoorDash merchant portal or tablet. For example, if the toggle in Toast web is set to "off" and the setting on DoorDash is set to "on," you will not receive orders until the toggle is switched to "on" in Toast web.
 

DoorDash Menu Availability & Dayparting

DoorDash recognizes menus that have limited availability, ensuring that items that are only offered during limited hours cannot be ordered by guests outside of the hours set in Toast. Time-specific menus do not appear for guests on your DoorDash menu outside of the hours of availability.  When the menu is available for ordering, guests may order from this menu.

Note: If there are multiple menus in Toast, they will be consolidated into one menu on DoorDash. 

To configure item availability:

  1. In Toast Web, navigate to Menus > Edit MenusMenu management section of Toast Web with Edit menus highlighted.
  2. For the Menu you are setting the limited availability for, navigate to Availability under the Advanced Properties header.
  3. Change Available at all times of the day? to No and enter the Times Available and change Days available if needed.

DoorDash Menu Price Increases

If you need to re-adjust your third-party ordering menu prices after onboarding, you can do this in Toast Web by navigating to Third party ordering > DoorDash > Increase menu price.

Note: This pricing configuration will apply price increases on top of the base price selected on your menu, and price increases do not apply to modifiers.

Alcohol Labeling 

imageIf you are a DoorDash integration customer, you can now mark items as containing alcohol directly in your Toast menu.  This will allow you to leverage labeled alcohol menu items from any of your Visible to: Online ordering: Partners menus. 

Once your location is live on the DoorDash integration, a DoorDash merchant will contact you to verify your liquor license and verify that alcohol delivery is available in your area. DoorDash will use the labeling assigned in Visible to: Online ordering: Partners menus. Visit Label Menu Items as Alcoholic for step-by-step directions to label alcoholic menu items. 

After you have labeled the items containing alcohol, those items will be compliant and available for guests to purchase on DoorDash if the menu is visible to partners.  For more information on menu visibility, see the article How to Manage Your Visibility Settings

Marketplace Facilitator Tax

A Marketplace Facilitator is typically defined as a business providing a forum where marketplace sellers can list tangible goods directly or indirectly, facilitate customer payments, remit payments to sellers, and take compensation for providing such services. Dining Options

For DoorDash to flow into Toast, you must ensure you have two DoorDash specific dining options set up.

Toast will create and set up these dining options during the initial set up process.

  • DoorDash with behavior set as Take Out 
  • DoorDash with behavior set as Delivery

Note: Toast will take care of your dining option during the initial setup.

Note: This dining option will appear greyed out as it is not editable and cannot be deleted. 
 

Having these dining options will allow you to accurately report the number of orders and revenue generated by each DoorDash order method.

Online Ordering Schedule

Ensure that the hours you would like to use in DoorDash are configured using your Online Ordering Schedule for Takeout. If your restaurant is part of a restaurant group, your Online Ordering Schedule must be set for each location individually. The DoorDash Marketplace will also reflect any Schedule Overrides.

Payment Type

In order for orders to flow successfully from DoorDash into Toast, a DoorDash Other Payment Option needs to exist in Toast Web. Toast will create your payment type during the initial setup. We recommend checking to make sure it exists prior to taking orders. If it's not configured, all orders will fail to send to the kitchen as a result.

Revenue Centers

DoorDash orders can be assigned to a specific revenue center automatically.  A revenue center will need to be created with one of the following accepted values: 

  • DoorDash
  • Door Dash
  • Door-Dash
  • doorDash
  • Doordash

Once a revenue center is created, DoorDash will automatically link orders to that Revenue Center in real-time, no matter the table service area or device. If revenue centers are not labeled as the approved bulleted list above, no Revenue Center will be assigned to DoorDash orders.

Frequently Asked Questions

I'm part of a restaurant group. Do I have to set up the integration separately for each location?

Yes, you will need to follow the same steps individually for each restaurant you would like to add the DoorDash-Toast integration to.
 

I didn't finish setting up the integration, and the page timed out. What should I do?

You are able to access the setup steps in Toast Web when you log in. A checklist at the bottom right of your screen will pop up and there will be a line item for the integration setup. 
 

When will DoorDash contact me about my integration?

DoorDash will notify you once the Toast Onboarding team has activated your integration and passed your account information to DoorDash.  You will receive a Toast confirmation email to confirm that Toast successfully completed its part of the process.
 

How will I know my sign-up and onboarding steps were completed correctly? 

After signing up for the integration and completing all the onboarding steps, Toast will begin reviewing and setting up configuration in the backend. (3-4 days). Once the Toast onboarding team has reviewed the configuration, the Toast team will send an email to the email address linked to the Toast account to either (1) confirm the configuration was completed successfully and passed on to DoorDash to finish the activation OR (2) request the restaurant make changes.

If you have not received any emails from Toast, please confirm the email address linked to the account with your team, Sales Rep, or Toast Customer Care. All of the onboarding steps need to be completed to trigger the Toast team’s review and confirmation email.


Can I have both Toast Delivery Services and the DoorDash integration simultaneously?

Yes, you can pay for both services as they are independent of each other. Customers receive Toast Delivery Services orders are received through your Toast Online Ordering page, Local by Toast, or on your POS. Customers receive DoorDash integration orders are received via DoorDash's marketplace/app.

What are the pricing options for 3PO Integrations?

3PO Integrations can be added individually or with a bundle.  These can be added through Toast Shop. 

 

Should I contact DoorDash or Toast for post-onboarding questions and issues?

For Driver/order-related issues (e.g., refunds, delivery, timing, open/close time), please contact 3PO partners' customer support.

Can I test the integration before the integration goes live with DoorDash?

Yes, you can request a test order to be done right before going live if you want to see how an order goes through. Please contact Toast Customer Care and request the Integrations Support team, who will submit a test order on your behalf.


Can a restaurant see where they are in the DoorDash integration onboarding process in Toast?

They can see their integration status in the Toast platform or on their Toast account at this time.  They should review their email for updates from Toast and DoorDash.


When a guest places an order in DoorDash and this order flows into Toast, what information displays on the POS?

The POS displays an itemized breakdown of the order, customer first name and last initial, and DoorDash's Merchant Support phone number. 


When following the steps for setup, the menu I would like to select for DoorDash does not appear. What should I do?

Make sure the visibility settings are correct or if you don't have a menu you would like to use, make sure to create it, and then come back to this step to select a menu. This is an important step that needs to be completed for setup. 


How does DoorDash calculate prep times and quote times?

DoorDash does not use your Online Ordering prep times or quote time strategies from Toast Web for driver pickup times. If you have questions about how DoorDash generates these times, please contact DoorDash support. 


Can I configure holidays or special hours?

Yes. You can configure holiday or special hours as a Schedule Override in Toast's Online Ordering Schedule and this schedule overrides will display on the DoorDash platform.


Why can't 3PO orders be updated on the POS? Are we considering changing this functionality in the future?

Customers cannot update 3PO orders on the POS because Toast is required to reflect the taxes the partner's remit.  There is no plan to change this functionality at this time.  


Does DoorDash respect Quote Time Strategies like Order Price Rules, Kitchen Capacity Throttling, or Throttling Delays?

DoorDash does not use your Online Ordering prep times or quote strategies from Toast web for driver pickup times.  If you have questions about how DoorDash generates these times, contact DoorDash support. 


Who do I reach out to for help once my restaurant is live with the DoorDash Toast integration?

Reach out to Merchant Support via (855) 973-1040 or by using the Help form in your DoorDash Merchant Portal. DoorDash should be the first point of contact for integration issues.


What happens if I update my menu?

Once you've made changes to your menu in Toast, your DoorDash menu will refresh in near real-time. 


Why is there a delay on my DoorDash orders firing to the kitchen and why does it say "HOLD" on the KDS for the order?

 
  1. Make sure to check your order auto-firing settings and ticket display options on your KDS.
  2. If you are receiving orders from an Online Ordering Partner but the orders are not firing immediately to the prep station(s) or KDS, the orders are either shown as "Pending" or "Paid" in the Toast POS
Solution: Future orders coming from Online Ordering partners will auto-fire when the Current Time = Expected Time - Prep Time.  For example, an order from DoorDash arrived in Toast at 3:18 PM and has an Expected Fulfillment Time of 3:37 PM.  Since the Prep Time is 15 mins (calculated by Toast), this order will not fire to the kitchen until the location time is 3:22 PM (3:37 PM - 15 mins + 3:22 PM).  The same concept applies for orders expected to be fulfilled at a later date. 
 

Why aren't my online orders displayed on the KDS?

Visit the following article links to ensure that the following are in place if orders are not displaying on your KDS:

The menu displayed on the DoorDash app is not correct. Who do I contact?

Please contact Toast Customer Care to request a menu re-sync. 


What happens when I need to 86 an item? Do I need to do anything for DoorDash when I 86 an item in Toast?

You do not need to modify the item on the DoorDash platform. You can 86 an item directly from the POS and it will sync on the DoorDash app in real-time.

How do I indicate an item is back in stock?

Update item inventory on the Toast POS.  The update will sync on DoorDash in real-time.


How often does my menu sync with DoorDash?

Any published update to your menu will sync in real-time with DoorDash.


How do I set up a Revenue Center for DoorDash?

If you would like to report on DoorDash revenue or sales, you can create a Revenue Center called either DoorDash or Door Dash. All orders coming in through the DoorDash integration will then automatically map to that Revenue Center. To learn how to create Revenue Centers, check out this article

Note: Once you assign a Revenue Center for DoorDash, please do not archive or edit it, since it will result in orders failing 


Does my DoorDash integration respect manual approval or approval rules in Online Ordering?

No, all DoorDash orders are sent directly to the kitchen. 


Can I use a virtual concept or ghost kitchen with the Toast direct integration? 

As of now, you cannot use a virtual concept with the direct integration.


Are there any limitations for my menu?

The DoorDash integration doesn't currently support time specific pricing, pre-modifiers, subgroups, prompt for quantity, Pizza Menu Management, size pricing on modifiers, and time-restricted menus using Toast's menu availability feature. If these are configured in your Toast menu, DoorDash will not be able to successfully pull your menu over from Toast. 


Can guests enter an item-level special request through the integration?

Yes, DoorDash supports item-level instructions through the integration. This comes through as a modifier on the item.  For more information on how to create a modifier visit here


How can I collect special instruction requests from guests? For example, if the guest wants utensils with the order or needs to list any allergens?

  1. Utensils: DoorDash supports sending plasticware information as a modifier on an item.  Please reach out to DoorDash support to enable this feature.  At this time, Toast cannot enable this feature for all customers 
  2. Allergens:  Contact DoorDash support to ensure Special Instructions are enabled. 


DoorDash drivers aren't showing up in a timely manner. Who do I contact? 

Contact DoorDash Support at (855) 599-7066. They will be able to communicate with the driver.


How can I verify my DoorDash Store ID? 

Please refer to this article for further instructions.


What should I do if I want to stop using the DoorDash Integration?

Remove the integration using the steps outlined here. However, you will still be charged the monthly fee, so contact Toast Customer Care to cancel your DoorDash subscription.


How do I switch from an aggregator provider (ex. Chowly) to the Toast direct integration?

Once you add the DoorDash integration from Toast Shop, your onboarding process to the DoorDash integration will begin. You may continue receiving orders through your aggregator until your location has been set live on the DoorDash integration. There is no action needed for the switch to take place, though it's recommended you work with your aggregator to let them know you are moving to a direct integration. You should NOT cancel this aggregator until you have received a confirmation from DoorDash confirming you are all set to be live on the DoorDash integration. 


Can I offer alcohol on my menu for delivery?

As of now, DoorDash allows you to sell alcohol if you have signed the DoorDash alcohol agreement for delivery through third-party integrations and you are located in a state where you are eligible to sell alcohol for delivery. I am not receiving orders through DoorDash Revenue Center. How can I fix this?

Make sure Revenue Centers are created with one of the approved name values. For additional troubleshooting visit Creating and Assigning Revenue Centers.


Do I need to alert DoorDash that I am adding a Revenue Center?

No, just follow the steps to create your Revenue Center and DoorDash will take care of the rest. 


Can I reassign orders to a different Revenue Center?

Yes, follow the steps in Creating and Assigning Revenue Centers


Can I see a breakdown of my DoorDash App, Caviar, and Storefront orders?

Yes. You can follow the steps below to report on your order breakdown.  You can also see this in the KDS and printed receipts, as this will show up in the "Tab Name".

  1. Using the left navigation in Toast web, select Sales Summary then Dining Options: DoorDash (select both takeout/delivery options).

  2. Select Tab Names from the Show/hide columns.

What should I do if a guest cancels their order?

Contact DoorDash Support at (855) 599-7066 for assistance with guest order cancellations.
 

I see orders coming in through DoorDash, but they aren't coming in to the POS. How do I fix this?

If your DoorDash integration is fully set up, check your Sales Summary report to see if orders are visible in Toast Web. Adjust the date range, and use the Source filter to see if any DoorDash orders are populated.
